Job Description:

  • Assist with drafting of quotes, agreements, and other documents.
  • Coordinate ordering and invoice approvals between departments.
  • Create and update databases of contracts and agreements.
  • Develop and maintain a secure records system for documents and files of a confidential or sensitive nature.
  • Maintain business filing system.
  • Manage expense reports, invoices and cheque requisitions and submit for processing.
  • Manage the calendar of operations for the CEO office.
  • Prepare agreements for contractors; tracking invoices and payments.
  • Provide administrative and confidential support to the CEO including organizing and coordinating meetings and activities for the CEO as required.
  • Provide project management support to the CEO including monitoring and reporting on project progress.
  • Track CEOâ??s schedule, expense reports, and travel.
  • Track vacation entitlement for employees and submit information to accounting.
  • Assess and improve business processes to enhance efficiency and promote a culture of continuous improvement.

Qualifications:

  • Post-secondary degree/diploma desirable, but not mandatory.
  • 3-5 years relevant work experience in a similar role.
  • Team player, self-starter, high attention to detail and organization skills required.
  • Fluent in MS Excel, Word and PowerPoint.
