Job Description:
DUTIES AND RESPONSIBILITIES
- With assistance from ERISA counsel, maintains and distributes Summary Plan Descriptions (SPDs) for the various Health & Welfare and retirement plans as needed
- Responsible for communication to associates and former associates about their benefit programs, including eligibility, procedures, and plan changes
- Key team member for Open Enrollment process including communication development, deployment, and ensuring that administration system is updated and tested prior to new benefits plan year becoming effective
- Analyzes internal Benefit data and compares to market data to provide insight into improved Benefits offerings for the Company
- Functions as the escalation point for benefits-related inquiries
- Ensures proper maintenance of associate benefits data in automated HRIS
- Facilitates timely and accurate data file transmissions to external vendors, plan auditors, plan providers, consultants and agencies as appropriate; including regulatory reporting related to benefits programs
- Responsible for ensuring monthly and quarterly audits for benefit eligibility are conducted
- Generates benefits and leave reports for management as needed
- Administers the Companys Leave of Absence and Short Term Disability requests and plans.
- Audits and reconciles vendor invoices and prepares for timely payment
- Escalates associate relations concerns and participates in any reporting as requested by Director
- Develops methods to improve processes, and practices, and recommends changes to management.
- Systems and Standards Maintains strict confidentiality related to associate information and ensures compliance with HIPPA regulations
- Cooperates with management and coworkers to ensure that services are adequately maintained to meet the needs of internal and external customers
- Completes all tasks in a timely manner as instructed by Director
- Executes all terms and conditions as set forth in the Associate Handbook, Benefit Plan Descriptions, and internal standard operating procedures
- Maintains a clean, neat work environment
- Treats clients and associates with courtesy, respect, and dignity
- Understands and follows safety and security procedures
- Practices preventative safety procedures as set forth by
- Reports all accidents and incidents to the Director immediately
- Uses only equipment trained to use and operates all equipment in a safe manner
- Reports all potential high risk areas and safety concerns to the Director
- Knowledge of ERISA, HIPAA and IRS regulations
- Computer proficiency and technical aptitude with the ability to utilize MS Office (Excel, Word, and Outlook), the internet and various HRIS applications
- Ability to work independently as well as in a team environment to effectively plan and set priorities to accomplish required tasks
- Ability to manage several projects simultaneously while working under pressure to meet deadlines
- Ability to read, analyze, and interpret general business correspondence, instruction guides, training materials, and complex benefits-related documents, contracts, and plan descriptions
- Excellent written and verbal communication skills to effectively address all levels in the organization
- Ability to make formal presentations to all levels of management
- Ability to represent the Company effectively in a variety of settings with a demonstrated understanding and appreciation for diverse cultures
- Ability to exercise considerable judgment and discretion in dealing with matters of significance for the company
- Demonstrated ability to manage multiple projects/tasks and critical attention to details
- Knowledge of multistate sick, leave and paid time off requirements
- A Bachelors degree in a Human Resources or business-related field AND minimum of 3 years of experience in benefits administration;
- Including retirement plan administration and leave program coordination; OR equivalent combination of education and experience.
