Facilities and Services Assistant

DUTIES AND RESPONSIBILITIES:
? This position is to execute administrative functions to facilitate the work of the facility / office. The
specific duties vary in nature.
? Schedule events (Ex: Safety Fair, Blood Drives, Agency events)
? Work involves receiving, processing, and controlling printed materials and requests for printing
services:
o Processing requests
o Print materials (Posters, flyers, etc. for events)
? Maintain records
? Maintain schedules for maintenance and/or repair of physical facilities
o Coordinate contract repairs
o Record and maintain information on safety certifications and inspections
o Process forms and documents (Service Tickets, Events, Locksmith, and Project
Requests, etc.)
? Tracking and adjusting work orders
o Collecting and or coding for budget or program management purposes
o Maintaining files related to the office function
o Responding to oral and written requests for information
o Coordinate all in-coming calls (performing receptionist tasks) Automation: Greatly affect
the way equipment, facilities, and services work is accomplished. Staff will use computers
to perform a wide variety of record keeping, correspondence, and work tracking
operation.
? Input, delete, retrieve, manipulate, and correct information databases or automated records
? Design and produce reports using automated computer systems
? Assist with inventory and database management of kitchen equipment in pantries in sovereign
and common spaces.
? Use computers to perform basic work processes
REQUIRED EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES:
? Have knowledge of the rules and processes in an equipment, facilities, and services environment
