Job Description:

Responsibilities

  • Manages all aspects of multi-unit and multi-state bi-weekly and weekly payroll processing; ensuring payroll is processed timely and accurately, meets all financial obligations of the payroll department
  • Reviews preliminary and post payroll processing audits and ensures audits are completed and reconciled timely each payroll period.
  • Manages team of payroll specialists, ensuring proper cross-training, establishes regular development plans for each team member in alignment with departmental goals and ensures team\'s support to field is at a high level of service.
  • Establish team calendar of events, maintaining coverage for all tasks; ensure balanced structure of tasks amongst each team member.
  • Continually assesses payroll processing routines and identifies and executes process improvements for field and team.
  • Stays current on latest federal or state payroll regulation changes and is timely and effective in communicating needed changes to appropriate departments.
  • Develops and maintains training plans and standard operating procedures for payroll specialists
  • Partners with HRIS or leads changes and implementation of new or existing custom payroll interfaces to third party vendors and helps resolves issues as they arise. Is knowledgeable of all custom programs related to payroll processing.
  • Reviews payroll tax notices received by the company and take action as necessary; ensures all quarterly and annual tax filings and deposits are filed as required; apply for SIT and SUI ID numbers for new states; research and set up new localities.

Processes or manages the Executive payroll processing

  • Manages timely administration of wage garnishment services with third-party and ensures proper procedures are established, followed and that audits are in place to ensure compliance.
  • Establishes and manages year-end payroll processing which includes setting up and processing year-end adjustment runs, W2 previews, W2Cs, wage and tax reconciliations
  • Responsible for the management of payroll system standards, overseeing changes to standards and testing of standards; handles certain system maintenance which includes setting up new earnings, deduction and state/local tax codes and completing necessary testing
  • Seeks to improves department efficiency through cross-training and other process enhancements; works with staff to document/update all payroll processes and procedures.
  • Partners with HRIS Specialist with respect to payroll changes needed to support ADP\'s self-service product.
  • Serves as primary contact for all escalated payroll related inquiries from shops, Benefits, Accounting and other external parties.
  • Maintains employee confidence and protects payroll operations by keeping information confidential
  • Manages Pay Card program and ensures process is in compliance with State regulations
  • Responds to external payroll data or report requests from agencies and auditors. (i.e., work comp, BLS, auditors)
  • Has strong written and verbal skills
  • Responds effectively to payroll inquiries in accordance with our Advantage.
  • Reviews manual check requests and ensure payments are sent timely.
  • Special projects as needed.

Must represent The Advantage and Our Values

  • Five or more years of Payroll Management experience in a multi-state environment with previous supervisory experience and exceptional leadership skills
  • Knowledge of ADP, strongly preferred
  • Previous experience in project management and/or system implementation
  • CPP (Certified Payroll Professional) preferred, but not required
  • Excellent written and verbal communication
  • Well organized and detail oriented
  • Works well in a fast paced environment
  • Knowledge of Microsoft Office, especially Excel and Word
