Job Description:
DUTIES AND RESPONSIBILITIES:
- Plans and directs all administrative activities for the organizations CEO and Board of Directors
- Manages CEOs calendar
- Coordinates national and international travel
- Makes flight, hotel and car rental reservations in accordance with company policies
- Creates travel itinerary and schedules in accordance with authorized travel requests
- Acts as point of contact between top management and employees or other stakeholders
- Acts as gatekeeper for the CEO
- Creates presentations/maintains spreadsheets
- Modifies and update reports and graphics by compiling data from various sources for presentations, monthly review meetings, and other presentations as requested
- Preps background for meetings
- Maintains call logs for CEO
- Responsible for review and completion of departmental expense reports
- Participates in weekly (or more frequent) 1:1 meetings with CEO to plan the week ahead, provides information and deliverables to help CEO be more productive, and reprioritizes projects in the queue
- Attends various executive meetings to keep pulse on business and help â??connect dotsâ? between others in the company
- Ensures clear action items and follow-up after the meeting
COMPETENCIES AND QUALIFICATIONS:
- 5+ years in administrative role supporting top executives utilizing Microsoft Office
- Experience with interfacing with Board of Directors and preparing presentations for board meetings
- Instills confidence and exhibits maturity and professionalism
- Must be detail-oriented with the ability to multi-task in fast-paced environments- excellent time management skills, including the coordination of complex executive meetings
- Advanced written and verbal communication skills with the ability to communicate clearly and precisely
- Experience successfully streamlining and simplifying processes
- BA/BS degree or equivalen
